Overview

Synecore Limited is the fundraising agent responsible for hosting the annual Synecore Charity Golf Day. This is a not-for-profit event with one sole charitable beneficiary, The Variety club Golf Society. All money raised from the event contributes to the purchase of a Sunshine Coach for a local school that supports children with special needs. Any additional funds raised contribute towards the expenses incurred from planning, running and hosting the event.

In this document, it is our intension to address the terms and conditions relating to your involvement in our event.

Explanation of the definition and references within these terms and conditions:

  • “our” “ we” “us” “I” refers to the business i.e. Synecore Limited
  • “you” “your” “the user” “everyone”
  • “participants” refers to the person/s using the website or attending the Synecore Charity Golf Day
  • “subscriber” refers to the person/s who register on the Synecore Charity Golf Day website to book themselves and/or team members
  •  “the event” refers to the Synecore Charity Golf Day 
  • “our website” refers to www.synecorecharitygolfday.co.uk

1. Bookings

1.1 Booking for the Synecore Charity Golf Day must be made via our central booking website – www.synecorecharitygolfday.co.uk.
1.2 The person/s responsible for making the booking is/are required to register for an account using a secure username and password. This person is known as the “subscriber”. Once the subscriber’s account has been verified, the online booking can be completed for the event.
1.3 Subscribers accept responsibility for:
1.3.1 Inputting accurate information for themselves and/or other participants in their group/teams within the necessary registration form for the event.
1.3.2 Opting in on behalf of participants and themselves to receive marketing and correspondence related to their booking and the event.
1.3.3 Accepting the our privacy policy for all participants included in the booking.
1.3.4 Making payments on behalf of all participants within seven days of the booking and no later than 10 days before the event. Alternatively, ensuring participants make payment independently where required within seven days of the booking and no later than 10 days before the event.
1.3.5 Payment methods are credible and secure i.e. credit card, debit card, bank transfer.
1.3.6 Sharing details of the event (timing, location, dress code, code of conduct) with participants included in the booking. This applies if participant email addresses have not been provided as part of the booking.
1.3.7 Ensuring all participants within the booking are aged 18 and over.
1.3.8 Ensuring all participants in the booking are fully aware that their personal data is being shared in accordance with our privacy policy.
1.3.9 Acknowledging and informing participants that refunds cannot be made by Synecore Limited (see information on Cancellations & Refunds).
1.4 Amendments to the booking with changes to names, contact information golf handicap, dietary requirements, special requirements must be made 14 days before the event.

2. Price & Payments

Digital transactions related to ticket purchases, sponsorship, auction items, raffles and donations take place via Just Giving. This ensures our chosen charity directly benefits from everyone’s fundraising efforts.

2.1 The ticket price is fixed and non-negotiable for parties under eight.
2.2 For parties over eight, the total ticket price can be negotiated with Synecore’s senior management, who have the overriding decision.
2.3 It is strictly the responsibility of the website subscriber (person/s responsible for the booking) to ensure payments for tickets and sponsorship are settled seven days after the booking and up to 10 days before the event.
2.4 Held tickets must be confirmed with payment within seven days of holding.
2.5 Sponsorship payments must be made within seven days of booking to avoid the sponsorship being resold.
2.6 Additional fees resulting from changes in the booking will be agreed with the subscriber (person/s responsible for the booking) in advance. For example, adding extra participants to the booking, or sponsorship.
2.7 Auction items sold at the event must be paid on the day of the event, or within seven days after the event. If payment is not received, the auction item may no longer be available to you.
2.8 Late bookings (within 10 days before the event) must be paid immediately.
2.9 Payments for all-inclusive tickets for the raffle, competitions and drinks cart must be paid in cash or via Just Giving on the day of the event.
2.10 Synecore does not take responsibility for the security of online payments made to Just Giving for the event. Nor the charity’s receipt of payments.
2.11 Golf carts are on a first come first serve basis and subject to availability.

3. Cancellation & Refunds

3.1 All payments for attendance, sponsorship, donations and auction items must be paid directly to our chosen charity via Just Giving.
3.2 Synecore is not liable for refunding cancelled places or contributions to the event – be that as a ticket fee, sponsorship, payments for auction items, or charitable donations.
3.3 Refund requests must be made to Variety Club Golf Society in writing.
3.4 Cancelled and refunded ticket will be resold.
3.5 In the event, the Synecore Charity Golf Day is cancelled due to Covid-19 or conditions out of our control, tickets will automatically be rolled over to the following year. Alternatively, written refunds requests will be considered.

4. Event Participants

4.1 Whether you are attending the event as part of team, as a series of teams, or as an individual, we endeavour to provide the most suitable tee time based on your ability, access requirements and specific needs.
4.2 Notifications of tee times will be provided to the participant directly (if an email address was provided upon registration) or via the registered website subscriber (the person who booked on behalf of all participants in your team).
4.3 To alter a scheduled tee time please email [email protected] as soon as possible. Please note, it may not be possible to change tee times 10 days before the event.
4.4 On the day of the event, participants are required to register 15 minutes before their tee-time. Late arrivals will be accommodated where possible.
4.5 During the event, all participant and staff must be courteous and lawful. Breach of these terms can lead to removal from the event and even arrest.
4.6 We cannot be held liable for loss, damage or theft of personal or business belongings while attending our event. This includes items acquired during the event, such as auction and raffle items.

5. Sponsors

5.1 Business sponsors must provide the appropriate artwork, copy, banners and signage for the agreed sponsorship package. Synecore cannot be held liable for inaccuracies or missing information.
5.2 Artwork, copy, banners and signage must be provided at least 14 days before the event, unless agreed otherwise.
5.3 Any proofs supplied by Synecore will be signed-off by the sponsor ahead of publication and within a required time scale.

6. Force Majeure

Synecore shall not be liable for any delay or failure to perform any of its obligations if the delay or failure results from events or circumstances outside its reasonable control, including but not limited to acts of God (other than one arising from or related to directly or indirectly from volcanic ash), strikes, lock outs, accidents, war, fire, breakdown of plant or machinery, pandemics and Synecore shall be entitled to a reasonable extension of its obligations.

7. Severance

If any term or provision of these Terms and Conditions is held invalid, illegal or unenforceable for any reason by any court of competent jurisdiction such provision shall be severed and the remainder of the provisions hereof shall continue in full force and effect as if these Terms and Conditions had been agreed with the invalid, illegal or unenforceable provision eliminated.

8. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the law of England and the parties hereby submit to the exclusive jurisdiction of the English courts.

9. Entire Agreement

This Agreement contains the entire agreement between the parties relating to the subject matter and supersedes any previous agreements, arrangements, undertakings or proposals, oral or written. Unless expressly provided elsewhere in this Agreement, this Agreement may be varied only by a document signed by both parties.
